How to Export Reports from Avatar (Crystal Reports Viewer)

This guide will cover the steps on how to export reports produced in Avatar via Crystal Reports Viewer. The majority of reports produced out of Avatar are displayed and printed via Crystal Reports Viewer (i.e. face sheets, progress notes, service log reports, admission/discharge reports, etc.). 

Exporting reports from Avatar

This guide assumes you will have already produced the report you wish to export and are looking at the displayed report. 

  • Click the Export button located in the upper left-hand corner of the report viewer (it's next to the Print button)

  • Choose your format from the selections available. Common selections are:
    • Microsoft Excel 97-2000 (XLS) - for an Excel file
    • Adobe Acrobat PDF - for PDF files

  • On the next window that pops up, just click "OK" – make no changes


At this point you can save your exported file – please note that the file will initially have a generic name, so changing the name to make it easier to identify what you've exported is highly suggested. Also, when exporting files while using Citrix, you'll need to save to a network drive(e.g. the U: or H: drives) as saving to your desktop or another local resource is not possible. 

For any exports that contain PHI, please follow HIPAA guidelines. Files with PHI should be deleted immediately after it is used; if it is disseminated, especially to outside organizations, it must be encrypted. No files of this type should be stored on your local computer/laptop.
